We had documents spread across three people in two different houses. After the session, we had a chart, an index, and a clear picture of what was where. The facilitator was careful not to comment on anything beyond the organisational side, which was exactly right for our situation.

Records Chart Session — June 2025

I went into the session not expecting much — I thought I just needed a folder system. What I got was a proper index and a set of notes on what to do if the property title document couldn't be found. That last part turned out to be the most useful thing. The session ran a little long but the facilitator was thorough.

The session online worked well. My sister joined from KL and we went through everything together. I appreciated that the facilitator was very clear about what she could and couldn't help with. It felt safe to talk about where the documents were without worrying that we were sharing more than we needed to.

My wife and I took the Logistics Course after a difficult year. Having someone lay out the administrative steps — the address changes, the notification lists, the inventory — meant we could deal with those things systematically rather than in a panic. The course doesn't go beyond what it says it covers, which was the right approach for us.

I was helping my mother manage things after my father passed away. We had no idea where to start with the paperwork. The Records Chart session gave us a system and a starting point. It didn't resolve everything but it made what we needed to do much clearer. The referral sheet was helpful too.

Very professionally run. The pace was calm, which was important for our household at the time. I would have liked a little more time on the safe storage section, but the written guidance covered it well enough afterwards. I would recommend the session to anyone who has documents with more than one person in the family.

Halimah Aziz

Programme Director, community welfare body, Johor Bahru

The Capability Programme addressed something we had been struggling with for years: how to support families with their paperwork without inadvertently straying into legal territory. Kinstone built a governance framework with our own legal advisor and trained our volunteers to work within it. The bilingual materials were used immediately and are still in use.

Brother Lim Chee Keong

Administrator, faith organisation, Kuala Lumpur

We have members who come to us in difficult circumstances and bring their paperwork questions with them. We needed a proper framework for handling that without taking on a role we are not qualified for. The programme gave us that. The quarterly reviews have been valuable — they keep the framework current rather than letting it drift.

Three situations in more detail

Case study 01 — Johor Bahru household

Situation

A household of four adults — two generations, two addresses — with documents held by different people and no shared understanding of where originals were kept. Some documents had not been seen in several years.

What the session produced

A neutral chart of document holders across both addresses, an index sheet, agreed storage locations for originals, and a note on steps for documents that could not be located during the session.

After the session

The household used the referral sheet to contact a relevant agency about a missing document. The records chart was updated a month later when one document was reissued.

Case study 02 — Logistics course participant

Situation

An adult managing a household separation, with children in school, a jointly-held vehicle, and utility accounts in a name that was changing. The administrative list felt unmanageable alongside everything else.

What the course covered

Five weeks of structured work on notification checklists, address record updates, a vehicle inventory template, and a factual written record of agreements. All questions about legal or financial arrangements were redirected to appropriate professionals.

After the course

The participant completed the notification checklist within three weeks of the final session. The inventory template was used directly in a separate process the participant was managing with their solicitor.
